Frequently asked questions

Answers to the most common questions.

What we do, how we work and what you can expect from each CoMotion House practice.

About CoMotion

What does CoMotion House do?

We are a Strategic Intelligence House. We bring strategy, people and technology together in one team to help SMEs, industry and the public sector grow with structure, from diagnosis to implementation.

Do you work with SMEs or only with large companies?

Mainly with growing SMEs, industrial and service companies, as well as with public bodies.

Where is CoMotion based and which regions do you cover?

We are based in Porto and Lisbon and work with organisations across Portugal, on site and remotely.

How are you different from a traditional consultancy?

We don’t stop at the report. We bring strategy, people and technology together in one team and stay through execution until there are results.

Do you work with the public sector?

Yes. We support public procurement, processes, institutional communication and administrative modernisation.

Motion Scan and how we work

What is the Motion Scan and what do I get at the end?

It is a proprietary diagnostic, lasting 1 to 8 weeks, that assesses a set of indicators and organises them into key categories. At the end you receive indices, priorities, quick wins and a concrete, wave-based action plan.

How long does a diagnostic take?

Between 1 and 8 weeks, depending on the version chosen (Express, Core or Executive).

Do we have to start with the Motion Scan?

It isn’t mandatory, but it is the fastest way to make sure investment goes to the right place. For well-defined projects, we can start straight away.

How do you measure results?

At the outset we define a set of value and adoption indicators, with business, operational and solution usage metrics.

Strategy & Growth

How do you help an SME grow without losing margin?

We measure where margin is lost (pricing, discounts, inventory and costs) and design policies and routines to recover it before accelerating.

What does a restructuring process include?

Financial and operational diagnosis, a treasury plan, margin recovery and cost structure redesign, with support throughout execution.

Can you improve our financial information?

Yes. We define indicators, sources and closing routines and build the dashboard with STUDIO, so management can decide with up-to-date information.

What is fractional leadership and when does it make sense?

A senior executive able to lead a team (finance, marketing, sales, operations, technology and more) to accelerate critical projects without a permanent, in-house hire.

Do you support internationalisation?

Yes. We handle market selection, the entry model and the sales plan and, together with MIND, each country’s regulatory obligations.

People, Operations & Compliance

How can we reduce reliance on key people?

We map critical knowledge, clarify roles and decisions, document procedures and create succession and cross-training plans.

Do you help structure recruitment processes?

Yes. We define the profiles and skills for each role, the recruitment and selection process (job ad, screening, interviews and decision), the assessment criteria and who owns each stage. We also support the recruitment of critical profiles directly.

And with onboarding new employees?

Yes. We design the onboarding plan for the first weeks, with a welcome, initial training, goals for the first 90 days and check-ins. New starters become productive sooner and the company retains the talent it hires.

Do you produce job descriptions and market salary benchmarks?

Yes, as part of organisational design: roles, levels, responsibilities and market salary references.

How do we implement a performance appraisal system?

We define business and people objectives, skills per role, the appraisal cycle and training for managers, in a system simple enough to be used day to day.

How do you make sure teams adopt new tools?

We involve the people who do the work from the design stage, test with pilots and internal champions and measure adoption before scaling.

Do you support compliance when going international or launching your own product?

Yes. We map obligations, evidence and owners by product and market. Legal validation and certification are carried out with specialist partners.

Technology, Data & AI

Do you build bespoke software?

Yes. We design with the people who will use it, prototype quickly and build in phases, with testing and training included.

Do you integrate with the ERP we already use?

Yes. We integrate directly with PHC, Primavera, SAP and other systems, to avoid isolated solutions.

How does an AI-powered inventory management platform work?

It brings together warehouse, sales and purchasing data, identifies slow-moving items and stock-outs and suggests replenishments using rules the team validates.

Which processes can be automated in an SME?

The most common are collections and reconciliations, order tracking, goods receipt, invoice reading and triage of emails and complaints.

Is our data secure?

We work with hosting in the European Union, access control and activity logs, in compliance with the GDPR. Ownership of and access to the code are set out in the contract.

Artificial Intelligence

Is my company required to provide AI training?

Since February 2025, the EU AI Act has required organisations that use AI systems to ensure a sufficient level of AI literacy among their staff.

What obligations does the EU AI Act bring for an SME?

It depends on how AI is used. There are literacy and transparency obligations for virtual assistants and, for high-risk uses, additional requirements. We always start with an inventory and a risk classification.

Where should we start using AI in the company?

With a short assessment that identifies two or three use cases with available data, measurable return and controlled risk.

How do we prevent data leaks when using AI?

With suitable enterprise tools, clear rules on what can be shared, and training. In bespoke agents, we add access control and activity logs.

Funding & incentives

What funding is available for SME digitalisation?

It depends on the calls open at any given time. The most common lines are those of Portugal 2030 (COMPETE 2030 and regional programmes) and, in some cases, the PRR.

Do you support applications to Portugal 2030 and the PRR?

Yes, from the eligibility assessment and project design through to the application and execution management.

Can CoMotion projects be funded?

Often, yes. Digitalisation, automation, training and internationalisation are frequently supported areas, and we assess this possibility at the start of every project.

What is SIFIDE?

It is a Portuguese tax incentive for companies’ research and development expenditure. Eligibility of expenses is assessed case by case.
